Can respondents answer anonymously?

Taking part needs no account, no name, and no contact details, unless your study asks for them in its own questions. Responses are pseudonymous rather than fully anonymous: voi stores a one-way hash of technical details such as the respondent’s IP address so the same person isn’t counted twice. Also, what someone says in an open answer or a recording can identify them even when their name is absent. Yes. Before a respondent answers the first question, the welcome screen and consent message tell them an AI system is conducting the interview, and describe how their answers will be used. Your organisation, as the data controller, writes the exact wording of that consent message and decides what it covers; see Share: the consent and welcome screen. Where a respondent answers by voice or video, the consent message also covers that specific use; see Will a respondent’s voice or video appear in a report?.

Does voi sell or share data with advertisers?

No. voi does not use third-party analytics, advertising, or tracking tools. There is no advertising business behind the platform. The only outside companies involved are technical service providers that help run voi. See Voice, video & AI and Security & storage for which ones, and what they’re allowed to do with the data.

Who’s responsible for the data: voi, or your organisation?

It depends on which data. If you have a voi account and work inside a workspace, leonardo. impact GmbH (the company behind voi) is directly responsible for your account data. For the respondent data your study collects, your organisation is the controller, not voi. You decide what is collected and why, and you are responsible for that decision. voi processes this data only on your instructions, as your data processor under the Data Processing Agreement you accept when you create a workspace. This is also why voi cannot act on a respondent’s data (for example, deleting a response) without your organisation. Legally, that decision is yours to make. voi gives you the tools inside the platform to do it. See Your rights & data retention.

Running studies on someone else’s behalf

If your organisation runs studies for others, for example portfolio companies, voi supports a few setups. You can run the study directly. You can design the study on someone else’s behalf while staying in charge of it. Or you can hand full control to that organisation, so it manages its own respondents in its own workspace. Whichever setup is used, the party running the workspace is the one responsible for that data.

Does voi make automated decisions about respondents?

No. voi does not use automated decision-making or profiling that would have a legal or similarly significant effect on any individual. The AI features on the platform, such as generating questions, summarising results, and drafting reports, are tools for the organisation running the study. They are not automated decisions made about a person.

Who inside your organisation can see individual answers?

Everyone invited into a workspace can open individual responses, including recordings. Roles in voi control who can build and change a study, not who can read the results. See Workspace settings for what each role can do, and Roles & access for the full picture across your billing account and workspace. People outside the workspace see only what your organisation chooses to share, which is usually a report.
This section explains voi’s approach to data protection. It isn’t legal advice, and it doesn’t replace your organisation’s own privacy policy or the Data Processing Agreement you accept when you create a workspace.
