Creating a workspace

When you register, you accept the Terms of Service. The Terms of Service include the Data Processing Agreement. Creating a workspace asks for your organisation’s name. This confirms that your organisation is the data controller for everything collected in the workspace. You can add your privacy policy URL in the same step. Each workspace confirms this once. People you invite later join without repeating this step.

Inviting teammates

Add a teammate’s email address from workspace settings. They will get an invitation. The invitation expires after 7 days if it is not accepted.

Roles

A workspace can have several owners. Any owner can manage settings and membership. Editors build and run studies. Viewers read the results. Only owners can activate a study. If the person who set up the workspace leaves, another owner can take over from workspace settings. Roles control who can build and change a study. Roles do not control who can read the results; anyone invited into the workspace can open individual responses. See Who inside your organisation can see individual answers? and Roles & access for how this fits alongside your billing account’s own roles.

Branding

You set the workspace name, logo, and brand colour in workspace settings. These carry through to your surveys and reports. When you run a study on voi, your organisation is the data controller for the responses you collect. You are responsible for telling respondents how their data is used, processed and protected. Your privacy policy link is shown in the consent message respondents see before they answer. Enter your privacy policy link during workspace setup. You can also update it at any time from workspace settings. It applies to every study run from that workspace, so you only need to set it once. A change takes effect immediately for new sessions. You can launch a study without a privacy policy link. If you do, voi warns you first and records that the warning was shown, because your organisation remains the data controller for those responses. See Activating your study.
